Position Details

An Office Assistant performs a wide range of administrative and clerical support activities to facilitate the efficient operation of the hospital. Ability to effectively handle a wide variety of processes and tasks as assigned by multiple departments. Must demonstrate excellent communication and customer service skills.

  • Handle all aspects of the admission process for Outpatient.
  • Work with the business office and the utilization review department to ensure payment for services. Preform pre-certifications and concurrent reviews.
  • Schedules COEs, nursing assessments, H&P and psychosocial assessment with appropriate clinician. Schedules or completes UDS collections, including random screenings.
  • Actively participate in the therapist’s discharge planning needs. As directed creates appointments, starts follow up care process and completes interfacing with organizations.
  • Audits outpatient charts for accuracy and compliance.
  • Perform general clerical duties to include, but not limited to: photocopying, faxing, mailing, and filing.
  • Provide switchboard relief, as required.
  • Demonstrates excellent customer service skills in assisting patients, physicians, co-workers, and visitors in a prompt and courteous manner.
  • Abides by Standards of Ethical Code as set forth by HIPAA and adheres to those official guidelines.
  • Provides assistance to the Medical Records Manager as delegated.
  • Adheres to release of patient medical records information according to hospital and regulatory requirements.
  • Reanalysis of physician-revised records to ensure deficiencies have been corrected.
  • Work collaboratively with hospital departments to process all requests for medical records.
  • Accurately records and monitors departmental signature deficiency rate and maintains rate below 10%.
  • Ensures that all admitted patient accounts have been verified, corrected, and completed within 24 hours of admission.
  • Works with uninsured patients to identify potential Medicaid eligibility and makes the appropriate referrals to internal or external agencies.
  • Knowledgeable of specific billing/verification requirements of various carriers
  • Provides required follow-up on all patient accounts with the goal of collecting any patient co-pays, deductibles, and coinsurance at the time of services rendered
  • Processes all insurance requests from other departments and physician billing offices in a timely manner.
  • Other duties as assigned

Qualifications

Education: Associates degree in Office Administration, medical office administration, or Medial Assisting preferred or a combination of education and relevant work experience.

Experience: Previous administrative support, clerical, and customer service experience preferred.

Additional Requirements: May be required to work flexible hours. May be required to obtain competency in multiple departments.
