Job Description

Office Administrator (Med Management)

Location: Colorado Springs, CO

Work Schedule: Works Monday through Friday. Shifts may be 8 to 10 hours per day, but will not go over 40 hours a week. Duties will need to be performed at the MTF during core MTF hours (0700-1700).

DUTIES:
1.1. Duties include (not limited to): Performing administrative and reception duties managing the office supply system and coordinating purchases. Additionally, support will include maintaining calendars, schedules, scheduling meetings, attending meetings as recorder, preparing meeting agendas, preparing meeting minutes, preparing correspondence, editing correspondence, and coordinating actions/work orders with other base agencies. Managing administrative functions (data entry, reports and maintaining records etc.) associated with Medical Management Department (referral management, case management, utilization management, population health, disease/health management and Exceptional Family Member Program (EFMP). CMHS only; maintaining a building security plan.
1.2. The contract office manager will demonstrate appropriate courtesies to everyone, including military customs (addressing people by rank and name).
1.3. Perform Reception Duties
1.3.1. Receiving telephone calls, visitors and messages and obtaining sufficient information necessary to accurately determine primary needs and then appropriately act on that need.
1.3.2. The office manager will provide proper assistance or make appropriate referral to other responsible personnel when matters are outside the employee’s scope of assignment.
1.3.3. Messages received will be delivered to the appropriate person in a timely manner.
1.3.4. The office manager will adhere to the provisions of the Privacy Act and Freedom of Information Act and correctly apply other guidelines concerning release of information.

Perform Administrative Duties.
1.4.1. Accurately retrieving and filing required documents in accordance with procedures.
1.4.2. Meets short-notice suspense as established by the organization.
1.4.3. Be proficient in Microsoft Office software to include PowerPoint, Excel, and Word.
1.4.4. FOR CMHS Office specifically/ only: Interface with the appointment contract supervisors on issues of supplies, equipment, housekeeping, facility management, or building security/access.
1.4.5. FOR CMHS Office specifically/ only: Maintain the building security/fire plan to include coordinating drills and safeguards with the Evans Army Post Fire Department. Focal point for performance issues for the Housekeeping Contract for performance in Building 1011 at Ft Carson.
1.4.6 FOR CMHS Office specifically/ only: Coordinates and tracks evaluations, awards, and action items for Colorado Military Health System Office Director and the CMHS committees.
1.4.7. FOR CMHS Office specifically/ only: Duties may require the use of a Government Vehicle for official use only.

QUALIFICATIONS:
2.1. English Language Requirement. Shall be able to read, understand, speak, and write English well enough to communicate effectively and be a United States citizen.
2.2. Education. The contractor must have a high school degree or GED equivalent. An Associate's or Baccalaureate degree from an accredited college or university strongly desired.
2.3. Experience. The contractor must have at least 12 months experience as an office administrator within the past 36 months.
